We use the preschool management system Jovial to help us better organize enrollment, tuition, and other essentials of our preschool.
While you are one of our families, you will interact with Jovial through a “Family Portal”. This Family Portal gives instant access to invoices (including full history), any requirements due, your child’s class roster, and more. The Family Portal also allows you to make electronic payments and to submit registrations.
You will receive an email from Jovial roughly once a month while your child is enrolled with us that contains a unique access link for your Family Portal. The link is valid for 30 days, so please use your most current link for access. The automatically generated email will also contain information about any balances or requirements due. If you ever need to access your Family Portal but can’t find your most recent email from Jovial, you can get an access link here.
So that you’ll know a bit more of what to expect, let’s take a tour of Jovial’s Family Portal.
On the top left of the Jovial Family Portal home screen, you’ll see the family information we have stored for you. This information includes your family name, which is typically your child’s last name; your address, which can be updated at any time throughout the year by submitting an updated Registration Form (under Forms in the menu bar on the far left of the Family Portal); and your job.
If you’re new to our school, you might be wondering what your job refers to. Our preschool, and all of the cooperative preschools in the NSCCPP, are actually nonprofits that are run by the families enrolled at the school. To keep things running smoothly, every family is assigned an administrative job. If you don’t have one yet, take a look at the Parent Job Descriptions in our Parent Handbook and try to find a few that you might be interested in or already have experience with. We have to prioritize filling some jobs before others, but we still try to honor people’s job preferences as best as we can. You can find our Parent Handbook and see which jobs have already been assigned on our private Member Site.
On the top right of the Jovial Family Portal home screen, you’ll see Jovial’s record of your payment balance. For an in-depth look at your invoices, click View Details to see what you have been charged and what you owe. Unless you have already made special arrangements with our Treasurer, please pay any outstanding amounts owed. You can either pay online or by check.
Note: Scholarships are offered quarterly through PAC. To apply, fill out the scholarship application form and give it to the Treasurer after your NSC quarterly registration is complete. All requests are kept confidential. More information can be found online at the NSCCP PAC Scholarship Information page.
Paying online is easy, but it requires a bit of set up. Online payments are made through electronic fund transfers (aka “eChecks”). You will be charged a $2 fee per transaction, so please consider consolidating payments. We currently do not support credit card payments. Follow these steps to make an online payment:
- From the home screen, click Make Payment under Billing to pay your student’s tuition.
- Click the Make E-Payment button on the next screen.
- Click the eCheck/ACH button. You will be prompted to enter bank information.
- Click Next. You will be given an opportunity to review your payment and acknowledge the terms and conditions by typing your initials.
- Click Submit Payment to confirm payment.
Note: The first time you make an electronic payment, Jovial must verify your account before withdrawing the money. You will receive an email that says “Payment Received” with instructions on the account verification process (also detailed below). If the verification process is not completed within seven days, your payment will be cancelled. Jovial makes two deposits, each less than one dollar, into your account within one to two business days. Once you see those deposits in your bank account, please use the link in the “Payment Received” email from Jovial (or go back to the E-Payment screen in your Family Portal) and conclude the verification process by entering the deposit amounts. Once that is done, Jovial will transfer your tuition payment, and you will receive an email confirmation. Subsequent electronic payments will not require verification.
After you have made your electronic payment, you can go back and view your billing information. You should see an “E-payment received” entry with the date and amount of your transaction and an updated balance.
Paying by Check
Please make all checks out to “University-Ravenna Cooperative Preschool” and deliver them to the Treasurer one of the following ways:
- Given directly to the Treasurer
- Placed in the Treasurer’s mailbox in the Parent and Teacher Office
- Mailed to the preschool at 5751 33rd Ave NE, Seattle, WA 98105
Tuition Deadlines (excerpted from the Parent Handbook)
Tuition is due by the first of the month. If paying by check, tuition is requested to be paid at each month’s parent meeting for the following month’s tuition, except for September and May.
- May tuition is due at enrollment. If paying by check, May tuition is requested at Spring Orientation.
- September tuition is due by the first of the month. If paying by check, September tuition is requested on the first day in the classroom.
If you scroll down the Jovial Family Portal home screen, you’ll pass our welcome message and then come to our preschool’s requirements for attendance in class.
These requirements list the forms that need to be completed to fulfill each requirement and the dates they are due. All of the listed forms can be found under Forms in the menu bar on the far left of the Family Portal. These forms include:
- Member Packet Requirement – Due at enrollment
- Registration Form
- Parent Contract Form
- Class Information Form
- Student Packet Requirement – Due on the first day of class
- Classroom Kits Form
- Medical Information Form
- Permission to Photograph Form
- And other class-specific forms
When everything within a requirement is completed and processed, it will turn green.
Student and Caregiver Information
As you continue to scroll down the Jovial Family Portal home screen, you’ll next see your student’s information listed, including the class they are enrolled in.
To view the class roster, click View Roster. The button is actually not shown above since class rosters are not viewable until a couple weeks before the school year starts.
You’ll also see the list of caregivers you provided on your Registration Form. It is important that you include at least one caregiver that will “Attend/Work in Class”, at least one caregiver as your “Emergency Contact”, and any caregivers that you would like to be listed as “Pickup/Dropoff only”. You can add additional caregivers by submitting an updated Registration Form (under Forms in the menu bar on the far left of the Family Portal). If one of your caregivers decides they would prefer not to receive emails from Jovial, you can unsubscribe them by clicking Unsubscribe under their name.
